Responsibilities:

  • Supporting Fee Earners in all aspects of IP management once trained
  • Liaising with clients and foreign agents, managing queries and correspondence
  • Assisting with filing and recording assignments and name/address changes
  • Managing signatures, notarisation, and legalisation of documents
  • Drafting and preparing official forms for submission to the EPO, UKIPO, EUIPO, and WIPO
  • Maintaining case files and records accurately using document management systems
  • Monitoring diaries, deadlines, and reminders for multiple Fee Earners
  • Preparing cost estimates, forecasts, and client portfolio reports
  • Supporting with billing, invoicing, and document management tasks
  • Contributing to process improvement and project initiatives within the IP team

Requirements:

  • Minimum 18 months’ experience in a professional services firm (legal or IP environment preferred)
  • Excellent organisational, communication, and interpersonal skills
  • Strong attention to detail and ability to produce accurate work under pressure
  • Proficiency in Microsoft Office and document management systems
  • Minimum typing speed of 45 wpm
  • A proactive, flexible, and team-oriented approach
  • Good academic background (minimum B/6 grades); secretarial or CILEX qualification advantageous
