Responsibilities:
- Supporting Fee Earners in all aspects of IP management once trained
- Liaising with clients and foreign agents, managing queries and correspondence
- Assisting with filing and recording assignments and name/address changes
- Managing signatures, notarisation, and legalisation of documents
- Drafting and preparing official forms for submission to the EPO, UKIPO, EUIPO, and WIPO
- Maintaining case files and records accurately using document management systems
- Monitoring diaries, deadlines, and reminders for multiple Fee Earners
- Preparing cost estimates, forecasts, and client portfolio reports
- Supporting with billing, invoicing, and document management tasks
- Contributing to process improvement and project initiatives within the IP team
Requirements:
- Minimum 18 months’ experience in a professional services firm (legal or IP environment preferred)
- Excellent organisational, communication, and interpersonal skills
- Strong attention to detail and ability to produce accurate work under pressure
- Proficiency in Microsoft Office and document management systems
- Minimum typing speed of 45 wpm
- A proactive, flexible, and team-oriented approach
- Good academic background (minimum B/6 grades); secretarial or CILEX qualification advantageous
